Key Responsibilities

  • Work with engineering staff to prepare advertisements and project manuals for bidding, assist with bid openings, review submitted bid documents for completeness, and prepare project contract documents.
  • Prepare transmittal documents with accompanying resolutions and ordinances for City Council meetings.
  • Track and enter payroll information for Public Works administration and engineering staff.
  • Serve as a main contact point for staff, city leaders, and the public—managing calls, visitors, and correspondence with professionalism and discretion.
  • Prepare, organize, and maintain confidential records, reports, and payroll data.
  • Schedule meetings, appointments, interviews, and travel; coordinate logistics and ensure smooth communication.
  • Assist in preparing department budgets, processing purchase requisitions, and tracking expenditures.
  • Manage office operations, including supplies, records systems, and special projects.
  • Attend meetings and accurately record minutes.
  • Provide administrative guidance and task assignments to temporary or seasonal staff as needed.

Qualifications and Preferred Skills
Education & Experience:
  • High school diploma or equivalent required.
  • Minimum of three years of progressively responsible administrative support experience, including document preparation, recordkeeping, and computer operations.
  • Equivalent combinations of education and experience will be considered.
Administrative Proficiency:
  • Strong knowledge of office practices, procedures, and department operations.
  • Excellent written and verbal communication skills, with strong attention to accuracy and detail.
  • Proficient in Microsoft Office and standard office equipment.
Financial & Organizational Skills:
  • Experience maintaining payroll, managing budgets, and handling purchase orders preferred.
  • Proven ability to prioritize, multitask, and meet deadlines while maintaining confidentiality.
Professional Attributes:
  • Dependable and self-directed with consistent attendance.
  • Strong sense of professionalism and customer service.
  • Ability to collaborate effectively across teams and departments.

Residency Requirement:
Employees must reside within 50 miles of Decatur’s corporate limits within 12 months of appointment.
